Executive Assistant (Commercial Department)

Provide organizational and operational support for the Commercial Department as well as for the Commercial Director. Deliver an effective administrative support service, including extensive inbox and diary management; internal and external communications prioritization and response; travel arrangements and expenses; meetings/event administration and general duties.

Responsibilities

The Executive Assistant should be pro-active and pre-emptive in managing complex and demanding diary, having full autonomy in ensuring that all meetings, appointments, and events are scheduled effectively and efficiently, ensuring the correct prioritization of time.

  • Act as the primary point of contact for internal and external stakeholders (via extensive inbox management), ensuring that all queries are addressed and resolved promptly and effectively.

  • Ensure that everything is prepared for all meetings in order to maximize productivity.

  • Maintain the office cadence daily through to annual – including diary and agenda management, tracking commercial department goals and objectives, budget etc. as required

  • Join Commercial department leadership meetings to ensure the Executive Assistant understands the commercial topics across the department and can act as a facilitator of collaboration across the fast-growing department. Such meetings are where decisions are made, and actions determined.

  • Ensure actions are recorded, accountabilities are made clear, and are delivered on time.

  • Under the direction of the Commercial Director, partner and collaborate with key stakeholders and teams to ensure delivery of outcomes.

  • Identify issues quickly and propose solutions.

  • Represent the Commercial Director’s desire for collaboration and teamwork internally, and externally, at all times.

  • Gather content for board meetings, support with presentation materials, paperwork and event management for executive meetings - including meeting requirements and other associated activities.

  • Build and maintain a strong network across the business

  • Robust management of emails, post and calls

  • Act as the point of contact among executives, employees, clients and other external partners.

Knowledge, skills and experience

  • Significant experience of working with and supporting C-Suite stakeholders, including project management support.

  • Excellent interpersonal skills, empathetic, naturally collaborative and able to build rapport and influence at all levels

  • Independent thinker with an analytical approach to problem solving

  • Exceptional attention to detail

  • Degree in a relevant discipline, or equivalent experience

  • English proficient ( oral and written)

  • Project management skills

  • Strong organisational skills with ability to prioritise a busy and often conflicting workload.

  • A flexible and professional approach, calm under pressure.

  • A robust approach to organisation and diary management.

  • Proven ability to handle confidential and sensitive information essential

  • Excellent knowledge of MS Office.
